This project demonstrates the transition from reactive maintenance to Strategic Infrastructure Management. By standardizing a distillery’s print fleet on HP Enterprise hardware, we moved beyond basic printing into Identity-Driven Workflows. Leveraging HP Web Jetadmin for remote oversight and Samba4/LDAP for secure user authentication, we transformed a standard peripheral into a hardened network node that respects data privacy and user sovereignty.

The Challenge

Costly Hardware Failure & Security Gaps

A long-term client in the specialist distilling industry faced a critical failure of their primary document imaging system. A third-party service provider diagnosed a "Failed Formatter Board" on their HP LaserJet Enterprise M575, quoting £500 for a replacement board or £2,000+ for a new machine.

Beyond the hardware failure, the client required a more secure way to handle sensitive documentation. Their existing "Scan-to-Folder" setup relied on a public network share—a significant data privacy risk for HR and financial records.

The Kent-ITS Logic: Systems over Symptoms

By utilizing HP Web Jetadmin, we performed a remote diagnostic. We identified that the logic board was responsive, but the Self-Encrypting Drive (SED)—the internal "brain" where the FutureSmart Firmware resides—had reached its end-of-life.

2. Identity-Driven Workflow (LDAP & Samba4)

With the hardware restored, we moved to solve the security gap. We leveraged the printer’s full-color touchscreen to create a Single Sign-On (SSO) environment:

  • LDAP Authentication: We integrated the printer with the client’s Samba4 Active Directory server.
  • Secure "Scan-to-Home": Once a user logs in at the printer, the system dynamically maps to their Private Home Directory.
  • Privacy by Design: Sensitive scans no longer sit in a "Public" folder. Documents are routed directly to the user’s secure, encrypted storage on the Linux server.

3. Proactive Fleet Management

Because these units are managed via HP Web Jetadmin, Kent-ITS provides ongoing remote oversight. We monitor firmware baselines, toner health, and storage integrity, ensuring that the "Distillery Lifecycle" continues without unexpected downtime.
